Overview
EcoAdapt COVID in-person workshop/meeting policy January 24, 2022 EcoAdapt has created this COVID meeting/workshop policy to define our commitment to protecting the safety of our staff and the safety of those with whom we work. This policy is based on CDC recommendations regarding planning for events including use of county transmission and vaccination rates to guide event planning decisions(1). It also reflects guidance and regulations of the states and cities in which EcoAdapt’s staff is located and may differ from regulations at the meeting or workshop location. As such they are subject to change due to factors such as the status of public health policies and data regarding vaccination rates and transmissivity of the disease in multiple locations. The following guidance is considered when determining the format of meetings/workshops and the number of participants in the in-person workshops/meetings it convenes: -For all communities for which an in-person event is being considered, local county or city COVID-19 transmission rates (according to CDC community transmission data) will be assessed beginning three weeks prior to the scheduled event. -If transmission is rated by the CDC as Substantial or High (as defined January 24, 2022) anytime during the three weeks prior to the day of the workshop, it will be rescheduled or offered in a virtual format. If current data on transmission levels are not available, the workshop will be offered virtually. -Regional or national CDC or governmental travel restrictions, and travel-related COVID exposure risks for EcoAdapt’s employees will also be evaluated. EcoAdapt requirements for in-person workshops/meetings: -Participants will be required to be masked while indoors, except when drinking or eating in designated areas. Participants must also show proof of full vaccination or a negative COVID-19 PCR test (taken within 72 hours of workshop/meeting). -The workshop/meeting venue must provide suitable ventilation (e.g., opening windows, updated filter systems), and be set up for social distancing of at least three feet throughout all workshop activities. -Regular use of provided hand sanitizer. -In-person participants will be required to sign a release of liability waiver regarding infectious diseases. If these requirements cannot be met or enforced or if local regulations prevent these requirement from being met or enforced, workshops will be offered virtually. EcoAdapt can still expertly work with your community through web-based virtual engagements. *Fully vaccinated and up to date is defined by the CDC(2) and means a person has received all recommended COVID-19 vaccines, including any boosters dose(s) when available. This definition may be periodically updated. (January 16, 2022). A person vaccinated against COVID-19 by a two-dose mRNA vaccine (such as Moderna and Pfizer), or a single dose vaccine (such as Johnson & Johnson), is considered “fully vaccinated” two weeks after the final dose of vaccine (the second dose for a two-dose regimen, or the single dose for a single-dose regimen). A person is considered “boosted” and up to date right after getting their booster dose of a mRNA vaccine (such as Moderna and Pfizer). Documentation of vaccination status must be shown before participating in the event. Acceptable proof of full vaccination are: Vaccination card (which includes name of person vaccinated, type of vaccine provided and date last dose administered), or a photo of a vaccination card as a separate document, or a photo of the attendee’s vaccine card stored on a phone or electronic device, or Documentation of vaccination from a healthcare provider electronic health record or state Immunization Information System record. Self-reported vaccination records that are not verified by a health care provider cannot be accepted. *Proof of a negative COVID-19 PCR test within 72 hours prior to the workshop/meeting will be required for participants unable to be vaccinated. The following are acceptable as proof of a negative COVID-19 test result: Printed document (from the test provider or laboratory), an email or text message displayed on a phone or electronic device from the test provider or laboratory. The information provided should include name of person tested, type of test performed, test date and date of negative test result (date of negative PCR test result must be within prior 72 hours). Antigen tests cannot be accepted. Self-reported negative test results that are not from a test provider, a laboratory, or a health care provider cannot be accepted. EcoAdapt reserves the right to update this policy at any time, and to notify participants and reschedule in-person events or change to virtual format events at our discretion.
